The Sales & Marketing Experience Coordinator is a critical role within the Marketing and Sales organizations at Kiawah Island Real Estate (KIRE) as this person is responsible for and will manage all inbound leads across all marketing channels, campaigns and initiatives as well as provide support to the Sales Executives. This role will be highly visible and will act as the liaison to our sales teams across three offices to ensure database accuracy, use, enhancements, reporting and compliance as well as management of marketing collateral, touch points, and fulfillment. Additionally, the Sales and Marketing Experience Coordinator will oversee the guest and prospect experience on island and aim to deliver the ultimate Kiawah Island lifestyle for each visit.

JOB DUTIES INCLUDE BUT ARE NOT LIMITED TO:

  • Serves at the first point of contact for all inbound inquiries from real estate campaigns. Qualifies interest, manages initial communications, tracks attribution and contact info with these leads and handles distribution to the appropriate entity.
  • Enable and train Sales, Marketing, and other internal stakeholders on database use, tracking, reporting and updates to current best practices within the database. Responsible for measurement and reporting to Sales and Marketing leadership on follow up sales efforts.
  • Manages email subscription preferences based on best practices and anti-spam laws.
  • Responsible for managing user access including onboarding, role changes and offboarding of user accounts ensuring access is limited to only what is needed for the user to perform their role.
  • Creation and updating of Reports and Dashboards that meet stakeholder requirements and conform to SOP’s for naming conventions and access.
  • Perform exporting of data as needed for Direct Mailing, External Reporting and Projects based on requirements.
  • Perform scheduled data audits and report results to the Director of Sales & Marketing Database Systems.
  • Support the Database Systems Administrator with reporting and Data Cleaning.
  • Completes initial fulfillment, touch points and nurturing programs for all new leads.
  • Oversees fulfillment and nurturing at sales level to confirm consistency with marketing workflow and brand standards.
  • Manages inventory of marketing collateral, touch points, and fulfillment for items identified as part of each customer journey.
  • Maintains an understanding of all active marketing campaigns and collateral developed by the marketing team in order to manage workflow and campaign attribution. Works with the sales team on its use to ensure all stays on brand.
  • Oversees active campaigns and reviews call recordings for campaign accuracy and training goals.
  • Collaborates with Sales and Marketing to gain understanding of customers; Maintains a knowledgeable understanding of both Real Estate and Club sales trends and culture.
  • Works with Experiential Marketing Manager to organize on-site sponsored events as needed.
  • Executes and manages the effectiveness of the KIRE Discovery program and the VIP experiential program to increase sales and immerse clients in the Kiawah lifestyle.
  • Works with Club management, Real Estate Marketing Manager, Assist BIC and Director of Marketing and VP of Marketing to ensure Kiawah Island Discovery experience exemplifies the overall Kiawah Island Club experience as a Member.
  • Ensures all pre-arrival communications and bookings are secured, itineraries are complete and adhered to, manage touch points pre, on and post arrival and work with teams to ensure the best experience possible.
  • Track and monitor sales associated with the Discovery program. Manages post-stay billing and reporting.
  • Works with Director of Marketing on all media experiential visits and support with itinerary as needed to plan a trip from pre to post arrival.
  • Demonstrates courteous and cooperative behavior when interacting with public, leads and staff; acts in a manner that promotes a harmonious and effective workplace environment.
  • Contributes to the efficiency and effectiveness of the Sales and Marketing teams by offering suggestions and directing or participating as an active member of a team.
  • Maintains confidentiality of all records across databases.

BACKGROUND/EXPERIENCE:

  • SC real estate license is a plus, but not required.
  • College degree in Sales, Marketing, Business Systems or other related fields required.
  • Two to three years of experience working in a similar position.
  • Excellent communication skills (oral and written).
  • Proficient in MS Office products.
  • Strong Excel skillset with ability to perform data update functions.
  • Proficiency in Google Workspace.
  • Professional phone skills with excellent customer service.
  • Ability to organize, prioritize, meet deadlines and multi-task.
  • Ability to work in an agile, fast-paced environment.
  • Experience working in a CRM system, preferably Propertybase and Hubspot.
  • Strong technical skills and mindset to leverage database and workflow-oriented software.
  • Ability to deliver high quality work, quickly, in a dynamic organization under pressure.

PHYSICAL REQUIREMENTS:

  • Constant and close visual work at the computer.
  • Constant sitting and working at a desk.
